Photo Use and Disclaimer Policy
1. Image Ownership and Usage
All photographs captured by The Vanity Portrait Studio (“TVPS”) are the intellectual property of TVPS. Unless otherwise stated in writing, TVPS retains the right to use any images captured during an event for portfolio, marketing, editorial, or promotional purposes, including but not limited to website galleries, printed materials, email campaigns, and social media platforms. Clients who wish to keep their event images private must request this in writing prior to the event date. Once acknowledged in writing by TVPS, these images will be excluded from all promotional use.
2. Guest Consent
By participating in a photography experience operated by TVPS, guests acknowledge and consent to being photographed and understand that their image may appear in both digital and printed media used by TVPS. Guests who do not wish to be photographed should notify a member of the TVPS team on-site. Our photographers will make reasonable efforts to accommodate such requests.
3. Client Deliverables
Clients receive the rights to use the final, delivered photographs for personal and internal business purposes, including sharing on social media, internal communications, and event recaps. Any commercial advertising use (for paid campaigns, print ads, billboards, or resale) requires written permission from TVPS and may be subject to additional licensing fees.
4. Liability Disclaimer
While TVPS exercises professional care in every aspect of its service, we are not responsible for technical failures beyond our control (e.g., equipment malfunction, venue power loss), limited image results due to restrictions imposed by venue rules, client schedules, or participant cooperation, or loss or damage to prints or digital files after delivery.
5. Privacy and Data Protection
TVPS respects your privacy. Guest photos and contact data collected for digital delivery or gallery access will never be sold or shared with third parties outside of TVPS’s operational partners (such as delivery or printing services). All data is stored securely and used solely to facilitate the delivery of images and related communications.
6. Policy Updates
This policy may be updated periodically to reflect changes in legal requirements or business practices. The most current version will always be available on our website.
